University Bibliography

The University Bibliography indexes the scholarly output of all RUB researchers that is published during their time at the university (as well as before and after, if desired).

Reporting publications contributes significantly to making your own research and thus the research performance of RUB visible and is therefore also part of the publication guidelines of the RUB.

Benefits for researchers

When an ORCID account is connected to the University Bibliography, publications will automatically be updated and synchronized.

RUB members whose works are listed in the University Bibliography can generate a complete list of their publications and embed them into their websites. Any new publication that is added to the University Bibliography will then automatically appear on the website, too.

What types of publications does the university bibliography record?

The term "publication" is very broadly defined. In general, all published research results are documented. In addition to the usual publication types such as journal articles, monographs, conference papers and patents, lectures, reviews, reports, blog posts and research data are also included.

Which data can I report or edit in the university bibliography?

The university bibliography distinguishes between data records for works (publications), persons (researchers), organizations (the organizational units of the RUB) and projects (externally funded projects and working groups). All RUB members can report or create works and projects after registering via RUB login data and edit them as long as the data records have the editorial status "new". Persons not yet listed in the university bibliography should be reported by e-mail to bibliographie-ub@rub.de and provide official proof of the person's affiliation to RUB (for example, their personal RUB website).

How can I register a publication directly in the university bibliography?
  • If you know the DOI or ISBN of the publication, you can import the bibliographic data automatically after RUB login: Menu bar: "Register" -> "Work" -> "Import via DOI or ISBN".
  • If you do not have a DOI or ISBN: Menu bar: "Register" -> "Work" -> Form input via "Type of publication". In this case, you must enter the bibliographic data manually.

In both cases, you will be shown a form consisting of several tabs. When importing, the bibliographic data is automatically written to the appropriate fields.

All mandatory fields are marked with an asterisk (*). Mandatory fields that have not been completed are highlighted in red. In addition, all tabs containing mandatory fields that have not yet been completed are highlighted in red. As long as not all mandatory fields have been completed, the Save button (at the bottom) is deactivated and greyed out. Once you have completed all mandatory fields and added any additional data, save the data record.

When are publications in the university bibliography and on the publication list visible to everyone?

The publication is visible in the university bibliography immediately after saving a data record. However, it is only visible in a publication list if the publication is linked to the corresponding person or organization or project. Publications created by you or imported from ORCID are initially all assigned the publication status "new". All data records are checked again by the University Bibliography team and optimized if necessary. You can track the editing status of datasets via the "Editorial status".

What is an organization and what is a project?

An organization is an official institution of the Ruhr-Universität Bochum, such as a chair, an institute or a faculty. Here the University Bibliography team uses the official organizational structure via the RUB IMS.

A project is a research project supported by research funding organizations such as the DFG or a temporary working group set up by members of the RUB (for example a working group of a chair).

How can I assign a publication to an organization or a project?

If you would like to assign publications directly to an organization (example: chair) or a project, please select the organization in the "Belongs to (organization)" field or the project in the "Belongs to (project)" field in the "Record information" tab.
